Description

About Hark

Hark is an artificial intelligence company building advanced, personalized intelligence. One that is proactive, multimodal, and capable of interacting with the world through speech, text, vision, and persistent memory.

We're pairing that intelligence with next-generation hardware to create a universal interface between humans and machines. While today's AI largely operates through chat boxes and decade-old devices, Hark is focused on what comes next: agentic systems that interact naturally with people and the real world.

To get there, we're developing multimodal models and next-generation AI hardware together - designed from the ground up as a single, unified interface for a new era of intelligent systems.

About the Role

The Recruiting Coordinator owns the machinery behind Hark's hiring: interview scheduling, candidate communication, our ATS, and the reporting that tells us whether the process is working. You will be the first person to touch most candidates after a recruiter does, and often the last person they see on an onsite day. The experience you create is a large part of how candidates decide whether Hark is a place they want to be.

Responsibilities

  • Manage candidate logistics and communications while balancing the needs of candidates, recruiters, and hiring managers.
  • Own the day-to-day administration of our ATS (Greenhouse), including configuration, data hygiene, troubleshooting, and ongoing optimization.
  • Build and maintain recruiting reports and dashboards that provide visibility into pipeline health and support data-driven decision-making.
  • Design and launch new recruiting programs, processes, and tools; lead enablement sessions for recruiters and interviewers and serve as the ongoing point of contact.
  • Proactively identify process gaps and operational issues, and resolve them before they become bottlenecks.
  • Maintain and optimize our talent operations stack, ensuring ATS, scheduling, sourcing, and other recruiting tools are integrated and running smoothly.

Requirements

  • 2+ years of experience in recruiting coordination, talent operations, or a similar role in a fast-paced environment; startup or high-growth experience preferred.
  • Experience with ATS and scheduling platforms, with strong proficiency in Google Workspace and tools such as Ashby, Greenhouse, or similar systems.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple moving pieces without letting things fall through the cracks.
  • Strong written and verbal communication skills and a thoughtful, candidate-first approach.
  • Ability to prioritize effectively, move quickly, and adapt as hiring needs and schedules change.
  • A proactive, operational mindset — you look beyond completing tasks to identify ways to improve processes and make the team more effective.

Bonus Qualifications

  • Experience supporting technical hiring for AI/ML, research, or hardware teams, and familiarity with what those interview loops look like.
  • Experience as the first or an early recruiting hire at a startup, with a track record of building recruiting processes, systems, and infrastructure from the ground up.

Compensation

The US base salary range for this full-time position is between $75,000 - $120,000 annually.

About this role

Hark is building advanced AI systems and hardware, and this role puts you at the operational center of their hiring machine. As Recruiting Coordinator, you'll own the full candidate experience—from scheduling and communications through onsite logistics—while managing Greenhouse, building recruiting dashboards, and designing new hiring processes. You're essentially the first and often last person candidates interact with, which means the operational excellence you bring directly shapes how people perceive the company.

The role demands someone with at least two years in recruiting coordination or talent operations who can juggle competing priorities without dropping anything. You'll need strong proficiency in ATS platforms like Greenhouse, Google Workspace, and scheduling tools, plus the organizational rigor to keep a complex hiring operation running smoothly. Beyond executing day-to-day tasks, the position rewards a proactive mindset—you'll identify process gaps before they become bottlenecks and continuously optimize the recruiting stack.

If you've worked in a startup or high-growth environment and have experience supporting technical hiring (especially for AI, ML, or hardware teams), you'll have an edge. The salary range is $75,000–$120,000, and the role is full-time, in-office in San Jose.
