Our Work Model
Hybrid: you will work from our Boston office 2 - 3 days per week, with the flexibility to work remotely on the other days.
Overview
This is a broad, hands-on role at the heart of the People Team, and the first point of contact for colleagues in Boston and across the Americas. Your line manager and the rest of the People team are based in Europe, so you will run the day-to-day in the US with real autonomy.
Your time splits roughly 50% People Operations, 25% employee relations and advisory, and 25% Workplace Experience: keeping our Boston office running well and delivering events people want to come to. It suits someone who enjoys variety and is equally comfortable handling an ER case in the morning, cleaning up HR data in the afternoon, and setting up for an all-hands the next day.
How you'll contribute
People Operations (50%)
- Be the first point of contact for employee queries, resolving them in our ticketing system or pointing people to the right information, and use AI tools to speed up routine drafting and tracking while protecting confidentiality.
- Maintain accurate people records in Workday, deliver timely data to Payroll, and meet federal, state and legal compliance requirements.
- Maintain HR documentation, including offer letters, agreements and employment verifications, and own the admin side of the employee lifecycle: changes, leave and departures.
- Coordinate onboarding so new joiners have everything they need on day one, and run Day 1 Orientation for Boston starters.
- Track People budgets, support vendor set-up and invoices, and partner with the wider People team on projects and process improvements.
Employee Relations and Advisory (25%)
- Act as first-line advisor on employee relations matters such as leave, performance concerns, accommodation requests and complaints, triaging cases and handling straightforward ones end to end.
- Own the ER case log and keep documentation audit-ready, including invite and outcome letters, separation paperwork and meeting minutes.
- Coach line managers through everyday people conversations, escalating complex, high-risk or multi-jurisdiction cases to the People Partner.
- Apply US federal and Massachusetts employment law and Scandit policy consistently and fairly.
- Flag recurring themes to the People Partner, and help draft and update policies and the handbook.
Workplace Experience and Events (25%)
- Keep the Boston office running smoothly: supplies, kitchen stock, shared spaces and equipment, in line with health and safety standards.
- Coordinate in-person, virtual and hybrid events, from team meetings and workshops to hackathons and all-company celebrations.
- Handle event logistics and attendee communications, including rooms, catering, A/V, travel, accessibility, invitations and follow-up.
- Build strong relationships with building management and vendors, and manage vendor lists, contracts and invoices.
- Oversee swag and inventory, and support the Global Team Outing and other Workplace Experience projects.
Who we look for
Essentials
- Experience in a People or HR operations, coordination or advisory role, including first-line ER and a working knowledge of US federal and Massachusetts employment law.
- Experience working in an international HR team, where your manager and/or colleagues were based outside the US.
- Hands-on Workday experience: entering data, maintaining records and pulling reports you can trust.
- Experience using a ticketing system (e.g. Zendesk, ServiceNow, Freshdesk) to log, track and resolve employee queries.
- Autonomy: you are comfortable working independently and making sound calls day to day, with your manager and People team in Europe.
You are also
- Highly organized and detail-oriented, juggling competing priorities without dropping the ball.
- A great listener and clear communicator, calm under pressure, and trusted with confidential matters.
- Hands-on, proactive and flexible, happy to switch between an advisory conversation, a systems clean-up and setting up a room.
- Proficient in business English and comfortable with Slack, Zoom and Google Workspace. Spanish or Portuguese is a plus.
- Experienced in a fast-growing tech or SaaS business, with exposure to other US states, Canada or LatAm (a plus).

About this role
Scandit's Boston office needs someone to anchor its People team across the Americas—a role that blends HR operations, employee relations, and workplace logistics into one genuinely varied position. You'd be the first point of contact for US-based staff, handling everything from onboarding and leave requests to ER cases and compliance, while also keeping the office running and organizing events. Your manager and colleagues sit in Europe, so you'll have real autonomy to make day-to-day decisions, though you'll escalate complex matters and work collaboratively on bigger projects.
The role demands hands-on HR experience: solid knowledge of US federal and Massachusetts employment law, fluency with Workday and ticketing systems, and comfort triaging employee relations issues. You'll need to be organized, detail-oriented, and equally at home drafting an offer letter, advising a manager on a tricky conversation, or coordinating a hybrid all-hands. Working hybrid from Boston (2–3 days in office), you should thrive in a fast-growing tech environment where you can move fluidly between confidential advisory work, data maintenance, and event planning without losing your grip on competing priorities.
This suits someone who enjoys variety over specialization, values autonomy, and is trusted with sensitive matters. Prior exposure to international HR teams, other US states, or LatAm is a bonus; Spanish or Portuguese would be useful too.
