Description

We are a renewable energy and ocean technology company committed to rapidly developing and deploying technologies that will ensure a sustainable future for Earth by unlocking the vast energy potential of its oceans. Our focus is on capturing civilizational levels of ultra-low-cost renewable energy for applications including computing and affordable renewable fuels delivered to shore.

The company is a public benefit corporation headquartered in Portland, Oregon, and backed by leading venture capitalists, philanthropic investors, university endowments, and private investment offices. We operate as an idea meritocracy in which the best ideas change the company’s direction on a regular basis.

Our staff have worked at organizations such as SpaceX, Blue Origin, Boeing, Tesla, Apple, Virgin Orbit, Astra, Google, Amazon, Microsoft, New Relic, Bridgewater, Raytheon, Disney Imagineering, and the US Army and Air Force, as well as research universities, startups, and small companies across a range of industries.

About the Job

Our core technology is the node, a device that produces energy in the ocean’s harshest conditions for years at a time without human maintenance or intervention.

The Workplace Experience Coordinator plays a vital role in enabling our team through high-touch, reliable service. You'll oversee the workplace hospitality programs that keep our teams fueled, supported, and ready to perform at their best. This includes maintaining shared spaces at a consistently high standard, and managing daily kitchen and food service operations.

This is a hands-on role for someone who takes pride in serving others through excellence, consistency, and proactive follow-through — and who doesn't just execute routines but improves them. You notice what's off, you fix it, and you come back with a better way to prevent it next time. Your work helps create a workplace that feels cared for, organized, and ready for anything.

Candidates should have strong interpersonal skills and be able to thrive in a creative, scrappy, and collaborative environment in which the best ideas change the company’s direction on a regular basis.

Panthalassa’s work is hard, fast, and deeply technical. A well-run workplace is a force multiplier—removing friction, supporting focus, and helping teams operate at a high level. This role is essential to creating an environment where people feel cared for, supported, and able to execute.

Responsibilities

Daily Operations

  • Perform regular visual sweeps and resets across shared spaces (kitchen, break room, gym, conference rooms, and common areas)
  • Maintain readiness of all conference rooms and collaboration areas: clean, stocked, and continuously usable
  • Maintain workplace presentation at a high standard, especially in high-use and visitor-facing areas
  • Serve as a trusted onsite resource for day-to-day workplace needs, responding quickly and following through with discretion and good judgment
  • Anticipate needs before they become blockers — supplies, cleanliness, functionality, readiness
  • Identify recurring issues and propose improvements to routines, layouts, and workflows
  • Support meeting setup and resets as needed, including quick turnarounds between sessions
  • Provide ad hoc hospitality support as needs arise across the organization

Vendor Coordination

  • Coordinate service calls and maintenance for kitchen equipment and hospitality-related needs
  • Maintain vendor relationships for food, beverage, and service providers; monitor quality and reliability
  • Support expense tracking and reconciliation for hospitality-related purchases as needed

Visitors & Hospitality Experience

  • Help create a welcoming, professional experience for employees, guests, and vendors.
  • Assist with light administrative tasks such as mail distribution, shipping support, or vendor coordination when needed

Food & Beverage Operations

  • Keep the employee kitchen, dining areas, and coffee and beverage stations clean, stocked, and running smoothly throughout the day
  • Maintain inventory of snacks, beverages, coffee, and food service supplies; prevent service disruption with proactive ordering
  • Coordinate weekly company lunches and company-provided meals, including vendor scheduling, setup, breakdown, and cleanup
  • Ensure food handling safety and cleanliness standards are consistently met
  • Partner with the Office Manager to evolve the program as the company scales

Event Operations

  • Set up and break down spaces for company events - from small team meetings, investor and client visits, to all-hands meetings
  • Coordinate day-of logistics with vendors and stakeholders so things run smoothly - catering, AV, visitor badging, gifts.

Work Environment

This role is onsite and active. You’ll be regularly moving through spaces, lifting supplies, setting up rooms, and supporting real-time needs across the facility.

Required Qualifications

You're service-driven, observant, and take pride in running a space that helps people do their best work. You notice what's off before anyone else does — and you fix it. You can move quickly without being sloppy, and you balance urgency with quality. You don't just follow routines — you improve them. You value feedback and constructive criticism as a means to raise the bar on everything you touch.

Experience

  • 2+ years of experience in workplace operations, hospitality, events, facilities support, retail, or other high-touch service environments
  • Comfortable operating independently in an onsite role with minimal day-to-day oversight
  • Strong organizational habits and familiarity with checklists, inventory tracking, and digital workplace tools (email/chat, ticketing or task systems such as Atlassian)
  • Familiarity with food safety best practices; Food Handler card a plus or willingness to obtain
  • Ability to lift and carry supplies, move furniture, and be on your feet for extended periods

Qualifications

  • Service-oriented with a strong sense of ownership for the quality of the workplace experience
  • Proactive and observant — you anticipate needs rather than simply responding to requests
  • A practical systems thinker who notices patterns, improves routines, and helps keep operations running smoothly
  • Strong prioritization instincts and sound judgment in real time
  • Clear communicator who follows through and takes accountability for outcomes
  • Calm, capable, and adaptable in a fast-paced, evolving environment
  • Detail-oriented and consistent — you care about the final 10% that makes a space feel polished and well run
  • Physically present and hands-on; you enjoy being active throughout the day and supporting the team directly

About this role

Panthalassa, a renewable energy company developing ocean technology, is looking for someone to run the day-to-day operations of their Portland headquarters—keeping shared spaces organized, managing food service and kitchen operations, coordinating vendors, and ensuring the workplace feels cared for and ready to support a fast-moving technical team. This is an active, hands-on role that requires you to notice what's broken or missing before it becomes a problem, fix it, and then improve the system so it doesn't happen again.

You'll need at least two years in a service-oriented environment like hospitality, facilities, events, or retail, plus the ability to work independently, manage inventory and checklists, and handle the physical demands of the job—lifting supplies, setting up rooms, and being on your feet regularly. Food Handler certification or willingness to get it is expected. The role also involves coordinating with vendors, supporting company events and visitor experiences, and working closely with the Office Manager as the company scales.

This suits someone who takes genuine pride in enabling others through reliability and attention to detail, thrives in a collaborative and scrappy environment, and sees workplace operations not as routine tasks but as a way to remove friction and help a team perform at its best. The salary range is $28–35K annually, and the position is full-time and onsite in Portland.
