Description

Flow Traders is seeking a highly capable, experienced and proactive Executive Assistant to support the Chief Executive Officer (CEO) at our Amsterdam HQ. In this pivotal role, you will provide high-level administrative and strategic support directly to the CEO, ensuring the seamless management of the CEO’s day-to-day activities and enabling the CEO to focus on key business priorities and strategic decision-making at a global level.

You will be a trusted partner to the CEO, taking full ownership of a complex and fast-moving schedule, coordinating a high volume of internal and external engagements, and anticipating needs before they arise. This role requires sound judgement, confidence, discretion and the ability to stay several steps ahead in a dynamic international environment.

What you will do

  • Manage the CEO’s complex calendar, communications and international travel across multiple time zones
  • Act as a trusted gatekeeper, prioritising competing demands and ensuring the CEO’s time is used effectively
  • Coordinate senior-level meetings, business trips and roadshows, including agendas, itineraries, logistics and briefing materials
  • Anticipate scheduling conflicts and changing priorities, proactively resolving issues and adjusting plans where needed
  • Ensure the CEO is prepared for meetings by coordinating agendas, pre-reads, presentations and other relevant materials
  • Act as a key liaison between the CEO, Management Board, internal teams and external stakeholders
  • Handle confidential and sensitive information with a high level of discretion and professionalism
  • Support board meetings, offsites and strategic or cross-functional projects
  • Manage expenses, invoices and approvals accurately and efficiently
  • Work closely with other Executive Assistants to provide seamless support and coverage
  • Provide flexibility and responsiveness outside standard working hours when required

What you need to succeed

  • A minimum of 5 years working experience as an Executive Assistant
  • Extensive experience supporting a CEO, C-suite or Management Board executive, ideally in financial services, trading or another fast-paced international environment
  • Exceptional calendar management, organisation and prioritisation skills, with experience managing complex schedules and international travel
  • Highly proactive and solutions-oriented, with excellent judgement and the confidence to take initiative independently
  • Strong interpersonal and communication skills, with the confidence to work with senior internal and external stakeholders
  • High level of discretion, integrity and professionalism when handling confidential information
  • Calm, adaptable and highly organised, with the ability to manage shifting priorities and work effectively under pressure
  • Strong attention to detail, ownership and follow-through, with a collaborative and hands-on approach
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration and AI platforms (Claude, Copilot, SharePoint)
  • Excellent written and verbal communication skills in English; additional languages are a plus
  • Comfortable working 5 days a week in the office and working flexible hours

About this role

Supporting Flow Traders' CEO from the Amsterdam headquarters, you would manage one of the most demanding calendars in the organisation—coordinating complex international schedules across multiple time zones, orchestrating senior-level meetings and business trips, and serving as the trusted gatekeeper between the CEO and internal and external stakeholders. This is a role where anticipation and judgment matter as much as execution; you'll need to stay several steps ahead of shifting priorities, handle confidential information with absolute discretion, and work effectively under pressure in a fast-moving trading environment.

The ideal candidate brings at least five years of executive assistant experience, ideally supporting a CEO or C-suite leader in financial services or another high-paced international setting. You'll need exceptional organisational skills, proactive problem-solving ability, strong interpersonal confidence when working with senior stakeholders, and advanced proficiency in Microsoft Office and modern collaboration platforms. Flexibility is essential—the role requires five days a week in the office and willingness to work beyond standard hours when needed.

Flow Traders offers a collaborative, non-hierarchical culture with competitive compensation including an annual discretionary profit share, comprehensive benefits, and genuine investment in development through Flow Academy. The package includes on-site amenities ranging from catered lunch and an in-house gym to a company boat and regular social events, alongside opportunities for global rotations across their offices worldwide.
