Description

ABOUT SYNERGY PRIVATE

Synergy Private is a multidisciplinary family office platform serving high-net-worth and ultra-high-net-worth individuals, families, founders, and executives. We coordinate sophisticated financial matters across tax, investments, risk management, estate planning, and business affairs.

Our practice operates through three complementary service offerings:

•  Advisory: Comprehensive planning and strategic advice across tax, investments, risk, and estate planning.

•  Management: Ongoing coordination, project management, and oversight of the implementation of clients' personal financial strategies.

•  Family Office Services (FOS): Execution of specialized services such as accounting, tax preparation, investment management, document drafting, and related services.

THE OPPORTUNITY

We are hiring two Family Office Operations Managers who will work as peers, supporting each other in managing the affairs of our family office clients and serving as central relationship and implementation managers for our clients.

Both positions share the responsibilities and qualifications below. Ideally, one will bring deep private banking and wealth management experience and the other deep tax and estate planning experience, so that the two complement each other.

This is not a traditional client service or administrative position. We need a multidisciplinary professional who understands how complex financial, tax, legal, and business matters intersect—and possesses the judgment, organizational ability, and professional fluency to coordinate their execution.

The ideal candidate has substantial experience serving affluent families, executives, entrepreneurs, or closely held businesses, preferably within a family office, private bank, wealth management firm, tax advisory practice, or private-client law firm.

Expertise or licensure in every financial planning discipline is not expected. Sufficient technical knowledge to identify needs, engage the right specialists, understand dependencies, and ensure completion is essential. This role will be supported by extensive AI tools and internal resources; comfort with AI and an exceptional ability to learn quickly are highly valued.

Key Responsibilities

1. Family Office Management

•  Deliver ongoing Family Office Management alongside a peer Operations Manager, serving as a primary coordination and implementation resource for client families.

•  Translate approved financial plans and strategies, client decisions, and advisory recommendations into actionable projects with clear ownership, timelines, and deliverables.

•  Manage concurrent initiatives across tax, investments, insurance, estate planning, business structuring, lending, and other financial affairs.

•  Anticipate dependencies, identify potential conflicts, and ensure activities occur in the appropriate sequence.

2. Client Relationship & Request Management

•  Serve as the central point of coordination for inbound client requests, inquiries, and service needs.

•  Evaluate and route matters requiring strategic advice, specialized professional expertise, or administrative execution.

•  Maintain accountability for all outstanding client commitments, ensuring responsiveness, proactive communication, and timely resolution.

•  Build trusted, long-term relationships through professional judgment, discretion, and exceptional follow-through.

3. Cross-Disciplinary Project Management

•  Coordinate internal teams, affiliated companies, attorneys, CPAs, investment advisers, insurance professionals, lenders, and other external specialists.

•  Manage implementation of complex financial transactions and planning strategies involving multiple professional disciplines.

•  Ensure service providers have the necessary information, understand responsibilities, and meet deadlines.

•  Oversee fulfillment of Family Office Services engagements, including for clients who do not subscribe to ongoing Family Office Management.

Example: When a client acquires an investment property, recognize the potential need for legal/entity structuring, financing, title coordination, insurance coverage, and tax-planning updates—and manage the relevant professionals through the transaction.

4. Advisory Coordination & Implementation

•  Partner closely with the Principal Advisor to transition approved advisory recommendations into executable implementation plans.

•  Coordinate information gathering, implementation status, outstanding decisions, and professional follow-up between advisory engagements.

•  Escalate matters requiring professional advice or licensed expertise to the appropriate adviser or specialist.

•  Own implementation without independently developing or delivering specialized tax, legal, investment, or insurance advice.

5. Operational Excellence, Technology & AI

•  Maintain comprehensive oversight of client projects, commitments, deliverables, and communications within firm management systems.

•  Review work products for completeness, accuracy, consistency, and readiness for professional review or client delivery.

•  Use firm-provided AI agents, research tools, and workflow automation to manage requests, accelerate information gathering, support rapid learning, and improve service delivery.

•  Critically validate AI-generated information and work products, safeguard confidential client information, and escalate judgment-sensitive matters to qualified professionals.

•  Develop scalable procedures, continuously master new concepts and tools, and improve the Family Office Management function as the firm grows.

Skills, Knowledge and Expertise

Professional Experience

•  4–6 years in family office services, private banking, private wealth management, private-client legal services, tax advisory, or related professional services.

•  Demonstrated experience with high-net-worth or ultra-high-net-worth clients, executives, business owners, or complex family enterprises.

•  Strong understanding of tax planning, business entities, estate planning, investments, insurance, and each discipline’s professional responsibilities.

•  Experience managing multidisciplinary projects involving attorneys, accountants, financial advisers, and other service providers.

•  Deep experience in either private banking and wealth management, or tax and estate planning, is especially desirable.

•  Demonstrated proficiency with AI-powered tools, or a proven ability to rapidly learn new technology and unfamiliar subject matter, is highly desirable.

Professional Credentials

A CFP®, CPA, JD, EA, CPWA, or comparable professional credential is strongly preferred, although equivalent experience and demonstrated technical competence will be considered. Multiple licenses or designations are not required.

Personal Attributes

•  Exceptional organization, ownership mentality, and attention to detail.

•  Intellectual curiosity and the ability to grasp sophisticated financial and legal concepts without practicing in each discipline.

•  Strong judgment, executive presence, and confidence engaging sophisticated clients and advisers.

•  Proactive communication, discretion, accountability, and independent prioritization.

•  Adaptability, resourcefulness, and a strong willingness to work alongside evolving AI-enabled resources.

WHAT SUCCESS LOOKS LIKE

Every client request has a clear owner, every commitment is tracked, and every approved strategy progresses toward implementation. Clients experience one coordinated family office relationship, even when multiple specialized professionals are responsible for execution.

Advisory leadership remains focused on strategy and professional advice, while the Family Office Operations Managers ensure the work required to implement those decisions gets done.

About this role

Synergy Private is looking for two Family Office Operations Managers to work as peers managing the financial affairs of high-net-worth families and executives. This role sits at the center of complex, multidisciplinary client relationships—you'll translate financial plans into actionable projects, coordinate across tax, investments, estate planning, and business matters, and serve as the primary point of contact for client requests and implementation. Rather than providing specialized advice yourself, you'll identify what expertise is needed, engage the right professionals (internal advisers, CPAs, attorneys, investment managers, insurance specialists), manage dependencies, and ensure everything gets completed on time and in the right sequence.

The ideal candidate brings 4–6 years of professional experience in family office, private banking, wealth management, tax advisory, or private-client legal services—enough exposure to understand how financial, tax, legal, and business decisions intersect, but not necessarily deep licensure in every discipline. You'll need strong organizational ability, sound judgment, and the fluency to communicate across professional domains. The two hires will ideally complement each other; if you bring deep tax and estate planning knowledge, your peer might bring private banking expertise, or vice versa.

This position is supported by AI tools and internal resources, so comfort with technology and a willingness to learn quickly are important. The role demands discretion, follow-through, and the ability to manage multiple concurrent initiatives without losing track of client commitments. It's a full-time remote position with a salary range of $70,000–$100,000.
