About this role

Supporting Ashfield Event Experiences' meetings and events operations, you'd work remotely from Philadelphia as a volunteer, reporting to the Director of Meetings and Events. The role centers on keeping client and internal processes running smoothly—maintaining standard operating procedures, flagging delivery issues, ensuring team compliance with client requirements, and supporting healthcare practitioner reporting. You'd also travel to one or two major US events annually to stay connected to the work and team.

The financial side is substantial: you'd review project budgets and reconciliations, track event spending through bi-weekly health checks, manage invoicing and aged debt, and maintain platforms like Procim, Tact Plan, Cvent, and HubSpot. You'd need intermediate Excel skills and experience managing event budgets from initial planning through final reconciliation. Beyond numbers, you'd gather compliance metrics for client reviews, help with new hire onboarding, and identify training needs for the team.

This suits someone with six or more years in corporate meetings and events who thrives on detail, accuracy, and client service. You should be comfortable working autonomously, juggling multiple priorities, and collaborating across departments. The company values people who stay current with industry trends and bring authenticity to their work—and they're open to candidates whose experience doesn't check every box perfectly.
