Business & Team Assistant- Frankfurt am Main
Role Profile:
Lazard Asset Management is evolving how it structures assistant support across its German offices, moving toward a more flexible, cross-team model rather than a single fixed department or stakeholder assignment. This role is being recruited with that direction in mind: the successful candidate will start by supporting one business team, while building up broader office and cross-team support from early on. We are particularly interested in candidates who are curious about new ways of working, including using AI tools to make assistant work more efficient — prior hands-on experience with AI tools (e.g. for drafting, summarizing, scheduling, or research) is a plus. Strong organizational skills, discretion, and the ability to manage multiple, shifting priorities across different stakeholders are central to this role.
Key Responsibilities
We'll trust you to:
Calendar management and appointment coordination for assigned stakeholders
Preparation and follow-up of recurring team and committee meetings, including agendas, minutes, and documentation
Support with internal and external communication and correspondence
Preparation of recurring (e.g. weekly, monthly, quarterly) reports for internal and external stakeholders
Creating and compiling presentation materials and folders for Investment Committee meetings
Travel bookings and processing of travel expense reports
Planning and coordination of events and offsites as required
Preparation and follow-up for Management Board and Supervisory Board meetings, deputizing for the CEO assistant when needed
Coordination and supervision of the reception team (student assistants)
Exploring and applying AI tools to streamline recurring assistant tasks (e.g. meeting prep, correspondence drafting, reporting), in coordination with the wider assistant team
Acting as backup for colleagues across other teams during absences, and taking on ad hoc tasks for other stakeholders as the assistant support model develops.
You'll need to have:
Completed commercial training or a comparable qualification; prior experience (at least 10 years) as an assistant in a financial services, asset management, or similarly fast-paced corporate environment preferred
Fluent in German and English (written and spoken) — daily contact with international colleagues and New York
Confident user of MS Office (Outlook, Word, Excel, PowerPoint); Salesforce and Concur experience a plus
Genuine interest in AI tools and new ways of working; practical experience using AI tools (e.g. Claude, ChatGPT, Copilot) in a professional context is a strong plus
Highly organized, able to prioritize independently and manage competing demands from multiple stakeholders
Discreet, reliable, and comfortable working in a role whose exact shape may continue to evolve
Team player with a proactive, hands-on, service-oriented mindset

About this role
Supporting Lazard Asset Management's Frankfurt office as it restructures its assistant function, this role offers a blend of traditional executive support and evolving responsibility. You'll begin anchored to one business team—managing calendars, coordinating meetings, preparing reports, and handling travel logistics—while progressively taking on broader cross-team support as the new model develops. The position includes deputizing for the CEO assistant during absences and supervising student reception staff, so you'll need strong judgment and the ability to operate with discretion across multiple stakeholder relationships.
What sets this apart is Lazard's explicit interest in how you work, not just what you do. The firm is actively exploring AI tools to streamline recurring tasks like meeting preparation and correspondence drafting, and they're looking for someone genuinely curious about these approaches and ideally already using tools like Claude or ChatGPT professionally. This isn't a traditional back-office role; it's one where you'll help shape more efficient processes while managing the inherent unpredictability of supporting a growing, internationally connected team.
You'll need at least ten years of assistant experience in financial services or a comparable fast-paced environment, fluency in both German and English, and solid MS Office proficiency. Beyond credentials, the role demands someone comfortable with ambiguity—the ability to prioritize independently when demands shift, work proactively across teams, and adapt as the support structure continues to evolve. If you're organized, discreet, and genuinely interested in how AI can make your work smarter rather than viewing it as a threat, this could be a strong fit.
