About this role

HeartFlow's Complaint Specialist role sits at the intersection of patient safety and regulatory compliance for an AI-driven cardiac diagnostic platform used globally. You'll manage product complaints from initial intake through closure, working within a post-market surveillance system that directly influences how the company responds to safety signals and maintains regulatory standing. The work involves assessing reports across multiple channels, determining what requires formal regulatory reporting to the FDA and international authorities, and ensuring investigations are thorough and properly documented.

This position demands solid grounding in medical device regulations—particularly FDA Quality System requirements, MDR procedures, and international standards like EU MDR and Health Canada regulations—along with familiarity with risk management frameworks. You'll review investigations for completeness, prepare regulatory submissions, support quality system activities like CAPAs and nonconformance reports, and collaborate with Customer Support and cross-functional teams to clarify event details and escalate safety concerns. The role also includes process improvement work as the company scales.

The ideal candidate has a bachelor's degree and zero to two years of relevant medical device experience, ideally in complaint handling or post-market surveillance, with exposure to Class II or III software devices preferred. You'll need strong attention to detail, critical thinking, and documentation skills, along with comfort using Salesforce, document management systems, and standard office tools. The position is based in Austin and requires in-office presence four days per week, with a salary range of $61,000 to $75,000 plus bonus.
