Job Purpose:
- To manage front-desk operations, daily administrative processes, office facilities, and corporate accommodation, while providing ad-hoc operational support to the HR department and management
Front-Desk Operations & Guest Relations
- Serve as the primary point of contact at the front desk, professionally receiving and welcoming all visitors, clients, candidates, and external legal counsel.
- Coordinate with building management on security registration, onboarding pass issuance, and offboarding exit access for employees.
Office Administration & Financial Tracking
- Handle daily administrative tasks, including incoming / outgoing document distribution, filing, and precise data entry
- Manage and track office administrative budgets, expense records, and operational logs using MS Excel and SharePoint.
Corporate Accommodation Management
- Manage company-leased residential condominiums (currently 3 units, with potential expansion to 4–5 units) while dealing with existing property agent
- Oversee move-in and move-out logistics for short-term external staff stays.
- Coordinate professional cleaning services, regular maintenance, and household / furniture procurement for all units.
Procurement & Pantry Management
- Oversee inventory management and timely procurement of office stationery, equipment, and general supplies.
- Restock and manage inventory across two office pantries, including refreshments, beverages, and consumables.
Meeting & Event Coordination
- Manage central meeting room bookings, room setups, and scheduling to avoid overlaps.
- Organize hospitality arrangements (beverages, catering, hardware setup) for internal meetings and high-profile external visitors (e.g., bankers, trainers, auditors).
- Assist the HR department in planning, organizing, and executing internal company events, staff engagement activities, and off-site meetings.
Facilities Management & Vendor Liaison
- Act as the primary point of contact for building management, landlords, and external service vendors.
- Oversee routine office maintenance, repairs, workplace safety protocols, and physical facility upkeep.
Others
- Complete additional administrative duties and support tasks assigned by supervisors or management.

Reolink's Singapore office is looking for someone to anchor its day-to-day operations across multiple fronts. You'd manage the front desk as the first point of contact for visitors and clients, handle core administrative work like document distribution and expense tracking in Excel and SharePoint, and oversee three company-leased residential units used for visiting staff—coordinating everything from move-ins to maintenance and furnishing.
