Role Overview

The Executive Assistant (EA) provides high-level administrative support to two Senior Partners, reporting on a solid line to both and with a dotted line to the Senior Office Manager. Beyond dedicated executive support, which remains the core of the role, the EA also acts as a thought partner to the Senior Office Manager on the training and development of the broader EA team. The ideal candidate combines the judgment and polish expected of an EA supporting the firm’s most senior leaders with a genuine interest in helping the wider EA function improve over time.

 

Key responsibilities

Dedicated Administrative & Executive Communication Support for the Senior Partners

  • The EA manages the Senior Partners' accessibility, drafts and edits communications and materials, and serves as a trusted point of contact for internal and external stakeholders.
  • Prepare written documents, including e-mails, memos, presentations, and other communications on the Senior Partners' behalf
  • Receive, review, and triage incoming communications, determining importance and routing content appropriately
  • Manage and proactively maintain the Senior Partners' contact lists
  • Project-manage initiatives led by the Senior Partners (e.g., center of excellence, pillar, accounts), including reporting and budgeting
  • Manage travel arrangements and expenses, and lead SOW creation, tracking, and execution
  • Schedule and attend meetings on behalf of the Senior Partners, maintaining accurate records and minutes
  • Welcome guests for in-person meetings and ensure a positive experience
  • Coordinate events, including conferences, seminars, and meetings
  • Conduct research and assemble/analyze data on initiatives managed by the Senior Partners
  • Use discretion, confidentiality, and good judgment to handle C-Level and Senior Partner matters
  • Foster trusted relationships with the Senior Partners' stakeholders

 

Executive Schedule Management

The EA manages the Senior Partners’ schedules to ensure time is well spent, conflicts are avoided, and activities are prioritized according to business needs.

  • Meet with each Senior Partner at least weekly to understand priorities and plans; proactively adjust both calendars, balancing and sequencing competing priorities across the two executives
  • Represent the Senior Partners in discussions to plan events and logistics
  • Coordinate meetings, including scheduling, reminders, and catering when necessary
  • Attend select meetings and/or events to ensure logistics are well executed and to document decisions as needed; prepare in advance by reading, researching, and analyzing information. Travel may be required.

 

Thought Partnership on EA Training & Development

  • Partner with the Senior Office Manager (Sr OM) to offer input and ideas on how new Executive Assistants are onboarded and trained on ClearView’s tools, systems, and administrative standards
  • Serve as an occasional, informal sounding board for other EAs navigating complex or sensitive situations, when asked
  • Contribute ideas and feedback on onboarding materials, reference guides, and best-practice documentation for the EA function
  • Model firmwide standards of judgment, discretion, and professionalism for less experienced EAs
  • Support Sr OM to define, document, and refine standards, workflows, and tools used by the EA team
  • Identify opportunities to standardize or streamline processes across offices (Boston, San Francisco, New York, London, Gurgaon)
  • Represent the EA function’s perspective in Operations planning discussions and firmwide initiatives affecting executive support

 

Qualifications

  • Bachelor’s degree required
  • 7+ years of experience as an Executive Assistant supporting C-Level or Senior Partner-level executives; experience supporting more than one executive simultaneously a plus; professional services or consulting experience strongly preferred
  • Interest in contributing to the training and development of other EAs; prior mentoring experience a plus, but not required
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and other systems used by the executive (SharePoint, Salesforce)
  • Strong critical thinking skills, executive-level communication, and a high level of customer-service orientation
  • Flexible hours and travel as dictated by the needs of the business
  • The position is hybrid, in-office expectations is 60%
  • Travel is a regular part of this role, including accompanying or supporting either Senior Partner and traveling to support meetings, conferences, or EA team activities across ClearView offices

 

Compensation

The salary range for this position is $100,000 - $130,000 annually.  Actual compensation will be determined based on experience, skills, qualifications, and location.

In addition to the base salary, you will be eligible for an annual discretionary performance bonus, and a comprehensive benefits package.
