Role Overview

We are seeking a polished, proactive, and highly organized Administrative Assistant to provide essential support to our Vice Presidents, Directors and Managing Directors in our New York office. This individual will play a central role in the day-to-day operations of the office — managing communications, coordinating logistics, and creating a seamless experience for both staff and guests. The ideal candidate is a self-starter who anticipates needs before they arise and takes pride in keeping a professional environment running at its best.

 

Key Responsibilities

  • Provide comprehensive administrative support to senior team members, including calendar management across multiple time zones, email correspondence, and travel coordination.
  • Drive efficiency through strong organization, attention to detail, and effective prioritization of multiple deadlines.
  • Coordinate meetings involving clients, investors, or deal counterparties, anticipating conflicts before they arise
  • Create and manage detailed itineraries (flights, hotels, ground transport) often on short notice
  • Coordinate conference rooms, video conferencing, and materials for both internal and external meetings
  • Handle last-minute changes gracefully when deals or client needs shift priorities
  • Serve as a polished first point of contact for clients, partners, and senior leadership, ensuring a welcoming and professional experience
  • Process expense reports and reimbursements accurately and on time

 

Qualifications

  • 2–4 years of experience in an administrative support role, preferably within a professional services or financial services environment.
  • Exceptional organizational skills and meticulous attention to detail.
  • Strong written and verbal communication skills, with the maturity and presence to interact confidently with senior executives and clients.
  • Demonstrated ability to multitask, prioritize effectively, and thrive in a fast-paced, dynamic setting.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Zoom) familiarity with travel booking tools a plus (Brex).
  • Comfortable operating within a small, collaborative office environment.
  • A proactive problem-solver who works well independently and as part of a team.
  • Bachelor's degree required.
  • U.S. work authorization required (the firm does not sponsor work visas).
