About the role...
We’re hiring an Executive Assistant to the CEO to keep the CEO focused on Duolingo’s highest priorities and ensure their days run smoothly. You’ll lead complex calendar stewardship, coordinate mission-critical logistics, and partner closely with the Office of the CEO to create clarity, flow, and follow-through across internal and external engagements. This is an in-person role with regular collaboration across executive leaders and EAs.
🧠 You will...
- Own end-to-end calendar management for the CEO, prioritizing time against company goals, stakeholder needs, and leadership cadences; proactively resolve conflicts and protect prep, travel, and deep-work windows.
- Partner closely with the Chief of Staff, Head of Office of the CEO, and other EAs to ensure the CEO’s schedule reflects strategic priorities and that handoffs are seamless.
- Plan and manage detailed domestic and international travel, including itineraries, and logistics for board meetings, off-sites, and external appearances.
- Build lightweight systems and documentation that improve executive workflows; use modern productivity tools and AI to increase speed, quality, and reliability.
- Serve as a high-judgment point of contact for internal and external stakeholders, maintaining confidentiality and representing the CEO’s office with professionalism.

- Significant experience supporting a CEO, founder, or senior executive with complex, fast-changing schedules and priorities.
- Demonstrated excellence in high-volume calendar orchestration, logistics, and meeting readiness, with a track record of anticipating needs and solving problems proactively.
- Outstanding organization and written/verbal communication skills; you keep details tight, documentation clear, and stakeholders aligned.
- Unshakeable discretion and judgment; calm, focused execution under pressure; and a service mindset that helps leaders operate at their best.
- Comfort collaborating across senior leadership and cross-functional teams, and working in person with the Office of the CEO and other EAs.
- Proficiency with modern productivity and collaboration tools (G Suite, Slack, Zoom, Mac) and an interest in leveraging AI to streamline workflows.
⭐ Exceptional candidates will have...
- 10+ years supporting CEOs in high-growth or complex organizations.
- Experience coordinating board meetings, leadership off-sites, and major external engagements across time zones.
- Prior partnership with a Chief of Staff and/or Office of the CEO team to align executive time with strategic priorities.
- Experience using generative AI and automation in an EA context to improve speed and quality of deliverables.
- Experience collaborating closely with a broader Executive Operations or People function.
The offered salary is dependent upon several factors, including work experience, skills, and internal peer comparisons. The posted range is subject to change in the future.
