YOUR FUTURE JOB Reporting to the Director of People Culture, the Office Admin Coordinator plays a vital role in supporting the smooth operation of our office and creating an engaging workplace experience. This hands-on role provides day-to-day office support, coordinates memorable social events, and delivers administrative assistance to support the People Culture function. With a proactive and people-focused approach, you’ll help make Daiya a welcoming, collaborative, and thriving place to work.
This is a full-time onsite role based at our office.
WHAT YOU WILL DO
Workplace Experience Events Coordinate and support logistics for company-wide events, social activities, and employee engagement initiatives. Greet and assist visitors, clients, and employees with a professional, customer-focused approach. Contribute to building a positive, inclusive, and vibrant workplace culture.
Administrative Support Support onboarding and offboarding activities to ensure a smooth and professional employee experience. Support with internal communications, announcements, basic report generation, and office updates as needed. Assist with admin support for Senior Leadership, including occasional support for Daiya board members.
Facilities Office Support Oversee day-to-day office operations, kitchen areas, coffee service, supplies, mail, packages, deliveries, and general office readiness. Coordinate with vendors for facility maintenance, repairs, renovations, invoice review and audits, recurring costs, and practical recommendations to balance quality, cost, and employee experience. Manage office supplies inventory and place orders to replenish stock Partner with IT to support facilities security, including issuing badges, updating org and seating charts, and receiving IT packages.
Ensure a clean, safe, and well-maintained working environment. Monitor office conditions and escalate potential hazards or risks. Communication Continuous Improvement Provide regular office and facilities communications and announcements to keep employees up to date on social events and happenings in and around the office.
Act as a point of contact between employees, vendors, and other stakeholders to ensure smooth operations. Bring curiosity, a learner mindset, and a continuous improvement approach by identifying ways to simplify processes, improve service, and enhance workplace efficiency and employee experience. YOUR BACKGROUND Diploma or degree in Business Administration, Communications, or related field, or equivalent combination of education, training, and experience.
Hands-on experience supporting customers, employees, guests, or team members in a service-oriented environment such as administration, office coordination, hospitality, retail, or events. A genuine interest in building a career in office coordination, workplace experience, facilities support, or administrative operations. WHAT YOU BRING Exceptional customer service orientation with a compassionate, can-do attitude.
Strong organizational and time management skills with the ability to juggle multiple priorities in a fast-paced environment. Proficiency with Microsoft Office applications (Teams, Outlook, Word, Excel; Publisher an asset).
