is seeking a detail-oriented and organized temporary Legal Document Specialist to support our legal team with a focused document management initiative. The primary responsibility of this role is to review, categorize, accurately label, and upload legal contracts and corporate minute book documents into our document management system. The ideal candidate will have familiarity with common legal document types, strong attention to detail, and the ability to apply consistent naming conventions and metadata tagging to ensure documents are properly organized and retrievable.
This is a project-based position with a defined scope and timeline. , service agreements, NDAs, MSAs, lease agreements, vendor contracts, employment agreements). , articles of incorporation, bylaws, board resolutions, shareholder meeting minutes, annual resolutions, share certificates, registers).
, annual returns, registered agent filings, certificates of good standing). , powers of attorney, amendments, assignments, consents, waivers). Document Naming & Labeling Apply standardized file naming conventions established by the legal team to every document.
, executed, draft, expired, superseded) Jurisdiction or governing law Signatory names and titles (for executed documents) Flag documents with missing, illegible, or ambiguous information for attorney review. , DocuSign / SharePoint). Apply correct metadata fields, folder structures, and tags upon upload per established protocols.
Maintain an upload log or tracking spreadsheet documenting each document processed, its assigned name, location, and status. Conduct basic quality control checks to confirm files are properly saved, correctly named, and fully readable after upload. Communication & Escalation Communicate regularly with the supervising attorney or office manager regarding project progress, questions, and flagged items.
Participate in brief onboarding and training on naming conventions, document categories, and the DMS platform. Escalate any documents that appear to be sensitive, incomplete, privileged, or outside the defined project scope.
Required Qualifications
High School Diploma or its equivalency (BA/BS Degree Preferred).
