The Opportunity The Law Offices of Samer Habbas Associates, PC is seeking a dedicated Executive Assistant to join our team in Irvine, CA. The ideal candidate will have experience providing direct personal support to a CEO or Managing Partner of a law firm.
A successful Executive Assistant at our firm possesses knowledge of complex calendar management, facility operations, and company-wide event planning. This is a full-time, fully on-site role in our Irvine, CA office with opportunity to travel based on business needs.
Requirements
Manages the Managing Partner’s complex calendar, including scheduling internal meetings, media days, and other firm matters Coordinates with firm staff to ensure the Managing Partner’s calendar accurately reflects important case deadlines or meetings, such as hearings, depositions, and client calls Acts as a professional liaison between the Managing Partner and outside vendors, media teams, building vendors, clients, and opposing counsel Serves as the point of contact for all property management needs in headquarter location (Irvine) and satellite offices Collaborates with Human Resources and Accounting teams on office supply purchases for all work locations, including setting up new offices with furniture and other supplies as needed Oversees phone system maintenance and collaborate with Accounting and Operations teams on necessary upgrades Assists and manage corporate event planning and company-wide philanthropic initiatives as needed Handles personal errands and tasks assigned by Managing Partner as needed, with occasional travel Coordinates firm-wide business travel, including flights, hotel bookings, and rental card through firm portals and accounts Assists with case-related tasks that require travel, such as minor’s compromise accounts and delivering client checks
Minimum Qualifications
5-7+ years of experience in an Executive Assistant role, preferably within a law firm or corporate legal department Bachelor’s degree preferred Exceptional verbal and written communication skills with excellent follow-through Ability to manage complex calendars and scheduling conflicts quickly and thoughtfully Adaptable, manages time efficiently, and can handle multiple competing priorities Possesses critical thinking abilities and takes initiative to find the best solution Comfortable learning new computer systems and technology, including AI or automation tools to improve efficiency and accuracy Anticipates Managing Partner’s needs and proactively solves problems Exercises discretion and commitment to maintaining confidentiality Delivers precise, thoroughly vetted information to the Managing Partner to support informed executive decision-making Approachable and works collaboratively with all firm staff and vendors Possesses a California drive
