Critical Mass — San Jose
Critical Mass is looking for a motivated and detail-oriented Project Coordinator (Entry Level) to join our team. In this role, you will support the delivery of digital marketing campaigns, website content updates, email marketing initiatives, and creative production tasks. You will work closely with Project Managers and cross-functional teams to help keep projects organized, tracked, and moving forward.
This is an entry-level role ideal for someone looking to start their career in digital project delivery and creative operations. You are highly organized, eager to learn, and comfortable working in a fast-paced, collaborative agency environment where priorities can shift quickly. You will gain hands-on exposure to how digital campaigns, website updates, and email productions are executed from start to finish while supporting the team in day-to-day coordination activities.
You Will: Support Project Managers and Delivery teams in coordinating digital projects, including website content updates, email campaigns, and creative production tasks. Help keep project schedules, trackers, and documentation up to date. Assist in organizing project information such as tasks, deadlines, deliverables, and status updates.
Support the coordination of internal meetings, including scheduling and capturing notes, actions, and follow-ups. Help track progress across website, email, and campaign deliverables. Assist in updating project trackers and ensuring information is accurate and current.
Support the team by helping gather information needed for project updates and reporting. Flag basic risks, delays, or missing information to Project Managers or senior team members. Help ensure creative and digital assets move through review and approval workflows.
Communicate basic updates and reminders to internal teams when needed. Support coordination across Creative, Design, Production, Strategy, QA, and Account teams. Learn how digital projects are planned, tracked, and delivered in an agency environment.
Participate in team workflows and gain exposure to website and email production processes. You Have: Bachelor’s degree or equivalent experience. 0–2 years of experience in internships, coordination roles, marketing, creative, or administrative support roles.
Strong organizational skills and attention to detail. Good communication skills (written and verbal) and willingness to ask questions. Interest in digital marketing, website production, email campaigns, and creative project coordination .
Ability to work in a fast-paced environment with guidance and supervision. , Excel, Teams, Jira, Smartsheet, Trello, or similar). Strong willingness to learn and develop in a project delivery or agency environment.
Ability to follow direction, stay organized, and support multiple tasks at once. A proactive, positive, and collaborative attitude.
