The Role The Payroll Clerk – Data Entry supports the payroll team by entering and updating payroll-related data with accuracy and timeliness. This role is essential in maintaining up-to-date records for payroll processing, assisting with garnishments, and ensuring accurate year-end payroll activities.
The ideal candidate is detail-oriented, organized, and capable of handling confidential information with discretion. 💼 This is an in-office role in Austin TX (at the Domain), five days per week with the option to work from home on Thursdays. *This role is temporary for 15 months or as needed.
What you’ll be doing Precision Data Management: Execute high-volume data entry for payroll processing, ensuring 100% accuracy in internal systems with strict adherence to court-ordered deadlines. Compliance Specialist: Independently process and monitor wage garnishment orders while navigating complex federal, state, and local regulations. Life Cycle Support: Manage the integrity of employee profiles, including tax withholding changes, deductions, and direct deposit setups.
Correspondence Inquiry Management: Act as the primary owner for all mail-related queries. This includes the timely and accurate completion of Employment Verifications, Social Security Administration ( SSA/CSA) inquiries, and state agency requests. Process Optimization: Proactively identify gaps in current data entry or mail handling workflows; design and implement streamlined processes to improve efficiency and reduce errors.
Analyze recurring issues in garnishment workflows and propose automated or standardized solutions to the Payroll Manager. Policy Support: Collaborate with the Payroll Manager to draft and update payroll-level policies and standard operating procedures (SOPs) to ensure departmental alignment and compliance. Year-End Excellence: Provide critical support for year-end reconciliations and reporting to ensure a seamless close.
Employee Advocacy: Serve as a professional first point of contact for payroll inquiries, delivering exceptional customer service. Confidentiality: Maintain the highest standards of discretion regarding sensitive employee personal and financial information. What you'll need Experience: 1–2 years of dedicated experience in payroll, high-volume data entry, or professional administration.
Process Improvement Mindset: Demonstrated ability to not only follow instructions but to create workflows and support the creation of formal office policies.
Requirements
for Employment Verifications and CSA/Social Security documentation. Tech-Savvy Mindset: Comfortable adopting new technologies and leveraging AI tools to streamline processes, solve problems, and increase productivity. Technical Literacy: Strong proficiency in Microsoft Excel or Google Sheets and the ability to learn new payroll systems quickly.
Communication: Sharp written and verbal communication skills for cross-departmental collaboration and responding to external agency inquiries. Speed Accuracy: Exceptional typing skills paired with a "quality-first" mindset. Reliability: Proven ability to manage deadlines and prioritize tasks in a fast-paced environment.
Nice-to-Haves System Expertise: Experience with industry-standard payroll software such as ADP, Workday, or Worklio .
