Job ID: 1694 The Role: We are looking for a Senior Facilities Coordinator to join our Facilities Team. As a Senior Facilities Coordinator, you’ll be part of a cross-functional team whose mission is to lead IonQ on its journey to build the world’s best quantum computers to solve the world’s most complex problems. In this role, you will be responsible for day to day front desk administrative duties and support of the facilities team.
The ideal candidate is someone who is a team player with a “no job is too big or too small” attitude.
Responsibilities
: Receive visitors at the front desk by greeting, welcoming, directing, ensuring compliance to visitor policies, and announcing them appropriately. Assist facilities team with coordination of visitors and new-hires including creating invites, access, and desk and room assignments. Ensure office environment is tidy and presentable at all times.
Receive and prioritize facilities work orders including maintenance, supply, and EHS request. Provide end-user helpdesk administrative support as required. Receive, sort and manage daily mail.
Answer, screen, and forward Facilities team emails. Order supplies and keep inventory of stock items. Initiate purchase orders as required.
Assist facilities team with light lab maintenance including retrieving and delivering equipment to lab for calibration and maintaining EHS records. Assist in maintaining office security by following and communicating access and safety procedures and being a liaison with building security. Maintain, update, and review facility documents.
Other tasks as required by business needs.
Requirements
: 3-5 years of proven experience as a receptionist or in a similar role Self-motivated with the ability to complete assignments with minimal supervision; must be able to work well both independently and with others Excellent organizational skills, problem-solving skills and ability to efficiently multitask Attention to detail in maintaining logs, reporting documentation, and data entry Excellent interpersonal skills, including the ability to communicate and collaborate effectively with all levels of personnel, executives, customers and external vendors in a positive manner Comfortable working in a fast-paced environment, with the ability to prioritize shifting business needs throughout the day.
Preferred Qualifications
: Associate’s/College degree; BS/BA in Business Administration or relevant field Familiarity with lab environments Experience in customer support Experience in a high-tech, fast-paced technical off
