Job Summary We are seeking a detail-oriented and service-focused Workplace Services Specialist to support facilities operations and ServiceNow request management for the Workplace Services team in our St. Louis office. This role helps maintain a safe, functional, and well-supported workplace by managing facility-related requests, coordinating with vendors and internal partners, supporting office readiness, and documenting processes that improve service delivery.
The ideal candidate is highly organized, proactive, and comfortable balancing day-to-day operational support with process improvement and administrative coordination.
Key Responsibilities
Monitor, triage, and manage incoming service desk requests through ServiceNow Provide first-level support for workplace services requests, including office maintenance, employee support needs, space-related issues, and general facilities concerns Coordinate with internal teams, building management, and external vendors to ensure timely resolution of service requests and incidents Track requests through completion, escalate issues when needed, and help ensure service levels are met Support daily office readiness by helping maintain shared spaces, supplies, amenities, and overall workplace functionality Assist with facilities-related administrative tasks, scheduling, communications, and follow-up activities Support vendor coordination for services such as maintenance, repairs, deliveries, and other workplace operational needs Help document and maintain workplace services processes, workflows, and standard operating procedures Create and update clear, user-friendly documentation and knowledge resources for workplace services activities Assist with data collection, reporting, and tracking related to ticket volume, resolution trends, service levels, and operational activities Identify recurring workplace or facilities issues and recommend process improvements to enhance service delivery and employee experience Support special projects related to workplace operations, office moves, space changes, service improvements, and team initiatives Maintain a professional , responsive, and customer-focused experience for employees, guests, and internal partners
Required Qualifications
Associate’s or Bachelor’s degree in Business, Information Systems, Operations, or a related field (or equivalent experience) 1+ years of experience in a service desk, operations, or administrative support role Experience working with ServiceNow or a similar ticketing or service management platform Strong organizational skills with the ability to manage multiple requests, priorities, and follow-up actions in a fast-paced environment Experience documenting processes, workflows, and standard operating procedures Excellent written and verbal communication skills with a strong customer service orientation Ability to work effectively with employees, vendors, and cross-functional partners
Preferred Qualifications
Experience supporting Workplace Services, Facilities, Real Estate, or Office Operations teams Familiarity with facilities request management, vendor coordination, and workplace operations processes Experience tracking service metrics, SLAs, and operational reporting Knowledge of office moves, space planning support, or workplace readiness activities Proficiency in Microsoft Office, including Outlook, Excel, and Teams This position is an non-exempt position.
Base Pay Range
for this role is expected to be between $60,000-$70,000 base salary
Compensation
range. Actual base pay may vary based on factors including, but not limited to, experience, subject matter expertise, geographic location where work will be performed, and the applicant’s skill set.
